Asana Integrations

Introduction: 

The integration of Asana with Worxmate provides an efficient solution for managing Objectives and Key Results (OKRs) while utilizing task and project management data from Asana. This integration enables businesses to align their project execution and team collaboration with their overall strategic objectives. This guide will walk you through the process of configuring the integration and setting up automated check-ins for your OKRs based on your Asana data. 

By connecting Asana with Worxmate, you can: 

  • Track OKRs related to project completion, task management, and team productivity 
  • Automatically update key results based on real-time Asana task and project data 
  • Align your project teams with company-wide objectives for better collaboration and goal achievement 
  • Generate insightful reports that combine OKR progress with project metrics from Asana 

 

This document is divided in two sections: 

1.Authentication       2. Auto check-in 

 

1.   Authentication

Configuring Asana Integration in Worxmate 

Log in to your Worxmate account 

 

    

 

Navigate to the main menu and select “Settings” 

 

In the Settings menu, locate the “Integrations” section 

 

Find and click on the Asana integration option 

 

 

 

Adding the Connection:  

 

Click on the “Configure” button for Asana 
 
 

 

 

You will be prompted to log in to your Asana account 
 

 

 

 

Note: If you don’t have an Asana account, you will be redirected to the Asana signup page to create one 

 

Once authenticated, you should see a confirmation message 

Verify that Asana appears as a connection. 

 

After Allowing the prompt then you will redirect to worxmate application and you can see your connection has been added 

 

                                    

2.   Auto check-in 

 

Setting Up OKR with Asana Integration:  

 

From the Worxmate dashboard, go to the OKR section 

Click on “Add Key Result” for the relevant objective 

Fill in the basic details of your key result 
 
 

 

In the key result settings, click the “Automate Check-in” option 

 

Select Asana as the data source 

 

 

 

 

Now a dialog will get open for Asana  
 
select your workspace, project, assignee and lastly the status. 
           

 

 

After selecting the whole dropdown click on preview button to view the current value. 
 
After click on save button, you need to confirm the check-in 

 
After saving the KR you can see you check-in on KR 

Formula for Task Completion Percentage: 

 

Basic Formula: 

Task Completion Percentage = (Number of Completed Tasks / Total Number of Relevant Tasks) * 100% 

Task Weightage: Each task is worth an equal share of 100%. To find the weight of each task: 

Individual Task Weightage = 100% / Total Number of Relevant Tasks

Three Scenarios: 

  1. Scenario 1: Specific Assignee 

  • What it means: You want to calculate the completion rate for tasks assigned to a specific person. 

  • Relevant Tasks: Tasks assigned to the selected person. 

  • Calculation: 

Completion Percentage = (Completed tasks by assignee / Total tasks assigned to this assignee) * 100% 

  • Example: 

 

  • Total tasks in project: 5 

  • Tasks assigned to selected assignee: 3 

  • Completed tasks by assignee: 2 

  • Completion Percentage = (2 / 3) * 100% = 66.67% 

 

 

  1. Scenario 2: All Tasks (Including Both Assigned and Unassigned) 

  •  
  • What it means: You want to calculate the completion rate for all tasks in the project, regardless of who they are assigned to. 

  • Relevant Tasks: All tasks in the project. 

  • Calculation: 

Completion Percentage = (Total completed tasks / Total tasks in project) * 100% 

  • Example: 

  • Total tasks in project: 5 

  • Completed tasks: 4 

  • Completion Percentage = (4 / 5) * 100% = 80% 

 

 

  1. Scenario 3: Unassigned Tasks Only 

  • What it means: You want to calculate the completion rate for tasks that are not assigned to anyone. 

  • Relevant Tasks: Unassigned tasks in the project. 

  • Calculation: 

Completion Percentage = (Completed unassigned tasks / Total unassigned tasks) * 100% 

  • Example: 

 

  • Total tasks in project: 5 

  • Unassigned tasks: 2 

  • Completed unassigned tasks: 1 

  • Completion Percentage = (1 / 2) * 100% = 50%
